HER Therapy Practice Policies

RUNNING LATE

I understand that unforeseen circumstances may arise that could cause you to run late for your scheduled session. If you are running late for a session please email to at hello@hertherapy.co.nz to let me know, I am happy to wait for you to arrive as long as I know when to expect you. If I have not heard from you within 10 minutes of our session start time I will assume that you are not attending the session and may choose to move on with my time for the remainder of the hour. This will be considered a late cancellation and you will be invoiced for the full session fee. Additionally, if you are late for a session, we will end on time to not impede the next client’s session. This is necessary because a time commitment is made to you and is held exclusively for you. Thank you for being understanding of this.

ADVANCED & LATE CANCELLATION

If you cannot attend a session, please make sure you cancel or reschedule your session by emailing me at least 7 days in advance. Late cancellations are sessions cancelled less than 7 days before the scheduled session time and are subject to a full charge. You may cancel up to 4 sessions per calendar year without paying the session fee as long as you provide 7 days’ notice. If you cancel any sessions beyond those 4 for any reason, you will be required to pay the session fee.

If you are sick, cannot attend the session or find a mutual time to reschedule the session, you will be required to pay the session fee. Payment is due on the day of your regularly scheduled session. If I am unable to attend a session you will NOT be charged the fee. This policy ensures continuity of care and supports my commitment to maintaining appointment availability. I appreciate your understanding and cooperation in upholding these policies, which are designed to support your progress and continuity in the therapeutic journey.

NO SHOWS

If I haven’t heard from you via email or you no-show for 2 weeks in a row, I will take it that you no longer want to continue therapy and you will be discharged from my caseload, you will also be invoiced for your regularly scheduled session. I understand that there are many reasons why clients sometimes have a hard time coming to therapy consistently. If that is the case, I urge you to speak with me about it so we can work together to address your concerns.

VACATION & TIME OFF

I strive to create a supportive and understanding environment where you feel empowered to prioritise your self-care. I recognise that taking time off for vacations or personal needs is essential for your overall well-being, and that our schedules change and there may be times you cannot make your session. I kindly request that you provide 7 days’ notice if you need to cancel a session. You may cancel up to 4 sessions per calendar year without paying the session fee as long as you provide 7 days’ notice. If you cancel any sessions beyond those 4 for any reason, you will be required to pay the session fee.

COMMUNICATION BETWEEN SESSIONS

I do not communicate with clients via text. Please email me at hello@hertherapy.co.nz if you need to get in touch with me, even to let me know that you'll be a few minutes late for a session or that you need to cancel last minute. While I will attempt to respond within 48 hours, I am often not immediately available and request that you do not use these methods of communication to discuss therapeutic content and/or request assistance for crisis management or emergencies.

SOCIAL NETWORKING & SOCIAL MEDIA PLATFORMS

Since both social media and technological developments are in a constant state of flux, I may need to make adjustments to this policy in the future. If I decide to make any changes to the policy, I will share them with you during the session and update them online.

Due to the importance of client confidentiality and privacy and the importance of minimising dual relationships, I do not accept friend or contact requests from current or former clients on my personal social media accounts on any social networking site (e.g., Instagram, Facebook, TikTok, YouTube, LinkedIn, etc). I believe that adding clients as friends or contacts on social networking and social media platforms can compromise your confidentiality and our respective privacy. It may also blur the boundaries of our therapeutic relationship.

FOLLOWING
You are welcome to decide whether or not to follow my public social media business accounts at your discretion. Please take note that I will not follow you back. I do not follow any of my clients, present or past.

LIKING/COMMENTING

You may “like” my social media content. By clicking "Like" on any of my content, you might be indicating that you know me in some way. My primary concern is your privacy. “Like” or comment on my social media content at your discretion.

INTERACTING

Messages on social networking sites or social media should not be used to contact me. As I do not check these accounts frequently, if there were an emergency, email is the best method for communicating with me.

If you have any questions or concerns about this or anything you see on my social media business accounts, please bring them up in session.

Please let me know if you have any questions or concerns about any of these policies or procedures.
